Grades can be imported into gradebook using the Import function with a properly formatted spreadsheet.

It is recommended when importing grades that staff:

  1. Download a report spreadsheet from gradebook using the Export function.
  2. Edit the exported spreadsheet to include the new grades.
  3. Upload the edited spreadsheet using the Import function

Important note: The spreadsheet used to import grades MUST be formatted correctly to correlate each student to their grade and requires a unique student identifier, such as their email address. Marks cannot be imported based on their name only.

1. Download a spreadsheet to enter grades into

You can export a spreadsheet containing columns to enter your grades and feedback into, along with the student data you'll need to be able to import the grades later.

Follow the steps on the LEO Guides: Exporting grades reports page. When choosing your export options:

  1. Select only the items you wish to import grades for and deselect unnecessary items:

  2. You may also wish to check the Include feedback in export option to add a column to add written feedback into.
  3. Check the "Real" option for the Grade export display types to add a column to enter numeric grades:

2. Enter the grades into the exported spreadsheet

  1. Open your downloaded spreadsheet in Microsoft Excel and input your data:

    1. Enter the numeric grade into the Real column.
    2. Enter the feedback into the Feedback column.
    3. DO NOT modify any of the other student data (such as their email address).
  2. When finished, choose the Save As option in Excel and save a copy of your spreadsheet using the CSV (comma delimited) format:

Note: you cannot directly import an Excel format file. It must be saved as a CSV or plain text file.

3. Import the CSV file into gradebook

  1. Navigate to your unit gradebook and click the Import tab option:

  2. Drag and drop your CSV file into the File section (or click the Choose a file button):

  3. Click the Upload grades button. This will take you to a preview with further options.
  4. Under the Identify user by heading, select "Email address" from the Map from and Map to dropdown boxes:

  5. Under the Grade item mappings section, match the columns in your spreadsheet (on the left) with the columns in the your unit gradebook (from the dropdown boxes on the right:

    If you haven't renamed the columns in your results spreadsheet, these should be easy to identify.
  6. Click the Upload grades button.
  7. Click the Continue button when the import has completed to return to the Grader report, where you should now see your grades and feedback imported into the selected gradebook columns:

    Note: you may need to turn the editing on to view the item feedback.
