Important update - finance system

In October, it was communicated via the Staff Bulletin that the existing Sun Finance System would be replaced by a TechnologyOne Finance System. The development work has progressed as planned and the key user training and User Acceptance Test (UAT) are expected to be completed this week.

This new Finance System is going live progressively during quarter 1, 2017. The schedule is as below:

January 2017

  • System go-live for Finance Directorate’s officers, accounts payable, general ledger and accounts receivable
  • End-Users training

February 2017

  • System go-live for End-Users, purchase orders and reporting
  • End-Users training

March 2017

  • End-Users training

The new Finance System will be made available during 2017, to staff to raise Purchase Orders, goods receipting, account enquiry and reporting.

End User Training

The end user training has been planned for January 2017 to March 2017 and regular training will continue throughout 2017.These training sessions will be made available to be booked via Staff Connect, prior to the end of the year.

The TechnologyOne will bring considerable benefits to the end users.

  • Replace current manual Purchase Order by an electronic Purchase Order with workflow approvals.
  • Enable authorised users to login to the finance system and make account enquires.
  • Report on financial commitments
  • Run standard reports
  • Streamline processes

Key Changes

As a part of the TechnologyOne implementation process, the key stakeholders together with the project team reviewed the main hierarchies and charts to suite the new Finance System.  The key changes are in the following areas.

  • Changes to the account codes (Chart of Accounts), links to the new codes will be made available via the Finance website/Sharepoint
  • Changes to the Cost Centre / Department/ Faculty / Directorate/Portfolio (Cost Centre hierarchy)
  • Project codes
  • Introduction of Entity and Source of Funds components to the account string
  • Amendments to the existing accounts string
